Unsolicited Resume Policy
Effective date: January 1, 2026
This Unsolicited Resume Policy (“Policy”) explains how QCarder (owned by ASTROSIST Inc.) (“QCarder”, “we”, “us” or “our”) handles resumes, CVs, candidate profiles, and similar materials that are sent to us:
- when there is no active job opening,
- when they are sent to a general inbox or individual team members, or
- when they are submitted by recruitment agencies or third-party recruiters without a prior written agreement.
This Policy applies to:
- All unsolicited resumes and candidate information submitted to QCarder in any form (email, website forms, social media, direct messages, third-party platforms, or hard copy); and
- All individuals and entities submitting such information, including candidates, agencies, and recruiters.
By sending us an unsolicited resume or candidate profile, you acknowledge and agree that it may be handled in accordance with this Policy, our Privacy Policy, and any applicable data protection laws.
Unsolicited Resumes from Candidates
If you send your resume, CV, or candidate profile to QCarder without applying to a specific advertised role (for example, to a generic email address or directly to a team member):
- QCarder is not obliged to review, respond to, or keep your submission;
- We do not guarantee consideration for any current or future position;
- We may, at our discretion,
- delete your information, or
- retain it for a limited period in line with our Privacy Policy and applicable law.
To ensure your application is properly considered, you should always apply directly through the official channels listed in our current job postings (e.g. careers page, designated email, or applicant tracking system).
Unsolicited Resumes from Agencies and Recruiters
QCarder does not accept unsolicited resumes, CVs, or candidate profiles from recruitment agencies, headhunters, or third-party recruiters unless there is a current, signed written agreement in place with QCarder that expressly authorizes such submissions for a specific role.
Without such an agreement:
- Any unsolicited resumes sent to QCarder (to any inbox, employee, or channel) will be deemed submitted on a non-exclusive, royalty-free basis.
- QCarder will not be obligated to pay any fees, commissions, or other compensation related to those candidates—whether we contact, interview, or hire them now or in the future.
- Any terms and conditions attached to unsolicited submissions (including in emails, proposals, or websites) are expressly rejected and will not be binding on QCarder.
No Implied Contract or Obligation
The receipt of an unsolicited resume, CV, or candidate profile by QCarder does not create:
- any contractual relationship between you (or your agency) and QCarder;
- any obligation on QCarder to review, acknowledge, store, or respond to your submission; or
- any promise of employment, interview, or future consideration.
QCarder reserves the right to:
- contact or not contact any candidate at its sole discretion; and
- hire similar or identical profiles through its own channels, other agencies, or direct applications without any obligation to the party who sent an unsolicited resume.
Ownership, Consent, and Use of Submitted Resumes
By sending an unsolicited resume, CV, or candidate profile to QCarder:
- You confirm that you have the right to share the information (and, if you are an agency, that you have the candidate’s consent where required by law);
- You grant QCarder a non-exclusive, worldwide, royalty-free license to store, review, and use the information solely for recruitment and hiring purposes;
- You acknowledge that QCarder may, at its discretion,
- match your profile to current or future roles,
- contact you (or the candidate) if there is a suitable opportunity, or
- delete the submission without further notice.
This license does not transfer ownership of the resume or profile content, but allows QCarder to handle it in line with this Policy and our Privacy Policy.
Data Protection and Retention of Candidate Information
QCarder handles any personal data contained in unsolicited resumes and candidate profiles in accordance with:
- our Privacy Policy; and
- applicable data protection and privacy laws in the relevant jurisdictions.
In particular:
- We may store unsolicited candidate information for a limited period for potential future roles, or
- We may choose to delete unsolicited submissions without further notice.
You may have rights (such as access, correction, or deletion) regarding your personal data. To exercise these rights, please follow the instructions in our Privacy Policy or contact us using the details below.
How to Submit a Resume for an Open Role
To ensure that your application is properly considered, please:
- 1. Only apply in response to a current job posting listed on QCarder’s official channels (such as our careers page or official announcements); and
- 2. Use the application method specified in the job posting (for example, a specific email address, form, or applicant tracking system).
Applications sent through these official channels will be processed in line with our recruitment processes, Privacy Policy, and applicable laws, and will not be treated as unsolicited.
Changes to This Unsolicited Resume Policy
We may update or modify this Unsolicited Resume Policy from time to time. When we do:
- We will update the “Effective date” at the top of this page; and
- Where appropriate, we may provide additional notice (for example, on our website or by email).
Your continued submission of resumes or candidate information to QCarder after changes become effective will be taken as acknowledgment of the updated Policy.
